Whitepaper
Definition
A whitepaper sits between a blog post and a research paper. It runs from six to forty pages, cites its sources, and takes a position: this is how the problem should be understood, and here is the evidence. The word came from policy and standards work, where a white paper was a formal statement of intent, and marketing borrowed it for anything substantial enough to be worth downloading. Most are produced as a PDF with a cover, contents, figures and a short note on the authors. The marketing version is commonly gated, which means the reader meets a lead capture form asking for name, company and email before the file appears.
Why It Matters
A whitepaper is expensive to write and easy to waste. The usual waste is a file nobody can find again: attached to one email, mentioned in a webinar, then gone. Publishing it at a fixed address turns it into something a sales team can link to for years and a search engine can index. Gating changes the trade. A form in front of the file gives you names, and it cuts the number of readers sharply — worth it when the document is genuinely in demand, a poor deal when few people have heard of you. The honest test is whether you would rather have fifty email addresses or five hundred readers.
How It Works
Write and lay out the document, then export it as a tagged PDF so that headings, lists and tables survive for screen readers and for anyone using text search. Keep charts as vector graphics where the tool allows it — a chart drawn in the layout or exported as SVG stays sharp and adds almost nothing to the file size, whereas the same chart pasted in as a screenshot is both blurry and heavy. Upload the file and decide on gating at that point: a plain address anyone can open, or the same address with a form shown first. If you gate it, make the surrounding text say what is actually inside, because the reader is now paying for a document they have not seen.
Real-World Example
A compliance consultancy publishes a 22-page guide at eu-reporting-guide.99helpers.site with a form in front of it. The PDF is 2.1 MB once the photographs are compressed, so it opens in the browser rather than landing in a downloads folder. Six weeks later the rules change; the consultancy uploads a revised file to the same address, and the link in every newsletter and sales email still points at the current edition. The earlier file stays in the version history on 99helpers, in case anyone asks what the old guidance said.
Common Mistakes
- ✕Gating a document nobody is looking for yet — the form stops the few readers you had, and you end up with neither an audience nor a list
- ✕Exporting a 60 MB PDF full of print-resolution images — it is a marketing document, not a press proof, and readers on a phone abandon it while it loads
- ✕Publishing the second edition at a new address — the old file keeps the search ranking and the inbound links, so readers keep finding the wrong one
