If you have any questions, please contact us at nick@99helpers.com.

2. What Data We Collect

Account and profile data

When you create an account we collect your name, email address, and password (stored as a secure hash). If you sign up via Google or another OAuth provider, we receive the name and email associated with that account. We also collect information you provide during onboarding, such as your business name, website, and how you heard about us.

Usage and technical data

We automatically collect data about how you interact with the platform, including pages visited, features used, IP address, browser type, device type, and timestamps. This data is used to improve the service and ensure security.

Knowledge base and chatbot content

When you upload documents, paste text, or crawl your website to train your AI chatbot, that content is stored and processed on our servers so your chatbot can answer questions accurately.

Conversation data

Chat conversations between your visitors and your AI chatbot are logged. These logs are used to improve chatbot performance, allow you to review conversations in your dashboard, and comply with legal obligations.

Payment data

Payment transactions are handled by our payment processor (Stripe). We do not store your full card details. We receive a transaction confirmation and your billing information for invoicing purposes.

Cookies and tracking

We use cookies and similar technologies to keep you logged in, remember your preferences, and understand how visitors use the site. See Section 9 for more detail.

3. How We Use Your Data

We use your personal data for the following purposes:

  • Providing the service — to create and manage your account, process your subscription, and operate your chatbots.
  • Improving the service — to analyse usage patterns, fix bugs, and develop new features.
  • Communications — to send you transactional emails (account confirmations, password resets, invoices) and, where you have opted in, product updates and tips.
  • Security and fraud prevention — to detect and prevent abuse, unauthorised access, and fraud.
  • Legal compliance — to comply with applicable laws and regulations.

4. Legal Basis for Processing (GDPR)

If you are located in the European Economic Area (EEA), we process your personal data on the following legal bases:

  • Providing the contracted service — Performance of a contract (Art. 6(1)(b) GDPR)
  • Account security and fraud prevention — Legitimate interests (Art. 6(1)(f) GDPR)
  • Improving the service and analytics — Legitimate interests (Art. 6(1)(f) GDPR)
  • Marketing communications — Consent (Art. 6(1)(a) GDPR)
  • Legal obligations — Compliance with a legal obligation (Art. 6(1)(c) GDPR)

5. Data Sharing and Third Parties

We do not sell your personal data. We share data with third parties only where necessary to operate the service:

  • AI providers — conversation content and knowledge base data may be processed by AI model providers (such as Anthropic) to generate responses. These providers act as data processors under contractual data processing agreements.
  • Cloud infrastructure — we use cloud hosting providers (such as Vercel and Supabase) to store and serve data. These operate in secure, GDPR-compliant environments.
  • Payment processor — payment data is processed by Stripe, Inc. under their own privacy policy.
  • Analytics — we may use privacy-friendly analytics tools to understand site usage. Where applicable, data is anonymised or aggregated.
  • Legal requirements — we may disclose data if required by law, court order, or to protect the rights and safety of 99helpers or others.

6. Data Retention

We retain your personal data for as long as your account is active or as needed to provide the service. If you delete your account:

  • Account data is deleted within 30 days.
  • Chatbot conversation logs are deleted within 90 days unless you request earlier deletion.
  • Anonymised or aggregated usage data may be retained indefinitely as it cannot identify you.
  • We may retain certain data for longer where required by law or to resolve disputes.

7. International Data Transfers

99helpers is made in Europe and we aim to keep your data within the EEA where possible. Where data is transferred outside the EEA (for example, to AI model providers based in the United States), we ensure appropriate safeguards are in place, such as Standard Contractual Clauses (SCCs) approved by the European Commission.

8. Your Rights

If you are located in the EEA or the UK, you have the following rights under applicable data protection law:

9. Cookies

We use the following categories of cookies:

  • Essential cookies — required for the platform to function (session management, authentication). These cannot be disabled.
  • Preference cookies — remember your settings, such as language or theme.
  • Analytics cookies — help us understand how visitors use the site. Where possible we use privacy-preserving analytics that do not track individuals across sites.

You can manage cookie preferences through your browser settings. Note that disabling certain cookies may affect the functionality of the service.

11. Security

We take the security of your data seriously and implement appropriate technical and organisational measures to protect it against unauthorised access, loss, or destruction. These include encrypted data transmission (HTTPS), secure password hashing, and access controls. However, no method of transmission over the internet is completely secure and we cannot guarantee absolute security.

12. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the effective date at the top of this page and, for material changes, notify you by email or a notice within the platform. Your continued use of 99helpers after changes take effect constitutes your acceptance of the updated policy.
